Institutional Advancement Manager

The Institutional Advancement Manager will be responsible for, and assist with, strategies to identify, cultivate, solicit, acknowledge, and retain major gift donors and planned giving prospects. This position is also responsible for conducting the full range of activities required to prepare, submit, and manage grant proposals to private, corporate, and governmental sources. Additional requirements include: writing reports, formulating strategies and writing fundraising proposals, writing correspondence and acknowledgement letters, assisting with events, and providing support for proposal and solicitation preparation as required. Overseeing and assisting with training of other staff working in Institutional Advancement and Membership is required.

DUTIES INCLUDE:

A. Donor Planning and Management Activities.

A1. Participate in the creation of annual institutional advancement goals.

A2. Work with advancement team and board to assist in all phases of planning and implementation of special fundraising campaigns.

A3. Participate in planning and implementing Annual Fund drive to assure goal is met.

A4. Help grow the institution’s planned giving program.

A5. Act as liaison between museum and board regarding fundraising activities.

 

B. Grants Administration

B1. Research, develop, and submit letters of inquiry and grant proposals for approved museum projects, working with other staff as necessary.

B2. Create expenditure and income budgets to accompany proposals.

B3. Update grant reporting and general agency information into Altru database.

B4. Maintain grant schedules, tracking forms, and granting agencies’ portals and passwords.

B5. Maintain necessary files on grant awards and documentation.

 

C. Donor Solicitation Activities

C1. Prepare proposals, call sheets, and donor lists for self and other solicitors as needed.

C2. Solicit gifts both independently and with museum staff or volunteers when appropriate.

C3. Manage portfolio of major gift prospects and demonstrate progress in developing relationships based on annual goals.

C4. Serve as liaison with members, donors, corporations, and private foundations.

C5. Conduct personal meetings (travel as necessary) with prospects and donors.

 

D. Database and Department Management

D1. Work with all staff to augment their efforts and report progress and challenges to Director of Institutional Advancement on a regular basis.

D2. Oversee staff to maintain timely receipt and acknowledgement processes.

D3. Support donor database management system by ensuring that records are up-to-date and accurate.

D4. Provide pertinent information to appropriate staff regarding major donor strategies and activities.

D5. Assist Director of IA with maintaining departmental procedures. Work with staff to update annually.

D6. Create queries and lists in Altru for strategic donor communications.

D7. Develop and distribute reports from Altru on fundraising progress.

 

Requirements
  1. Excellent verbal and written communications skills and the ability to articulate the case and mission of the institution and annual priorities to potential donors.
  2. BA/BS required. Minimum of four years related experience with experience in non-profit or academic major donor planning, cultivation, and stewardship.
  3. Experience with Blackbaud products, especially Altru is preferred. Proficiency with Windows-based word processing, spreadsheets, databases, email and Internet is required.
  4. Demonstrated success in securing major gifts and capital campaign experience highly desirable.
  5. Strong planning, administrative, organizational and priority setting skills.
  6. Ability to write reports, proposals, solicitation letters, and business correspondence.
  7. A high degree of professionalism, sensitivity, and integrity.
  8. Must be able to maintain confidential information.
  9. Flexibility in working hours and ability to attend evening and weekend events.
  10. Driver’s license and the ability to drive.
  11. Ability to lift and move up to 25 pounds.
