Title: Program Coordinator
Reports to: Executive Director
Wages: $18/hour, 30 hours per week.

The World Awareness Children’s Museum (WACM) is chartered by the NY Department of Education to “bring our diverse world to children.” This mission is advanced through its interactive exhibitions, its international youth art exchange program, its educational programs, and its exhibitions for loan.

POSITION OBJECTIVE:
Our mission is to inspire curiosity and foster understanding and appreciation of worldwide cultural diversity. The chosen candidate for this position will be responsible for the oversight and implementation of all programs and educational efforts. This position oversees a team of education staff members and collaborates with the education committee and marketing departments. This position will play a key role in fulfilling the organization’s mission, assisting in its growth, and will report to the Executive Director.

PRIMARY DUTIES AND RESPONSIBILITIES:

Programs:

  • Generate, organize, and implement/teach monthly museum programming, including story times with coordinated crafts, and occasional outreach programs themed around cultural events and diversity.
  • Maintaining communication with front desk associates about upcoming programs, school groups, birthday parties, and other relevant events.
  • Facilitate the museum birthday program
  • Attend Exhibit Committee meetings to consult on educational opportunities through new exhibition development.
  • Track programming attendance for yearly review.
  • Act as a key holder for the museum, with the ability to open up and lock up the museum as needed.

Events:

  • Assist the Executive Director with annual events, including the spring gala and fall Family Fun Night.

Education:

  • Be well-versed and able to train educators in each outreach, museum, and assembly program.
  • Manage a team of per diem educators, providing training, guidance, and feedback.
  • Communicate with schools, libraries, and community organizations to book outreach and in-museum programming.
  • Send booking contracts, confirmations, reminders, invoices, and post-visit surveys.
  • Track and facilitate all payments made for educational programming alongside the bookkeeping department.
  • Manage all virtual programming, including a deep familiarity with Nearpod and Google Calendar/Video call
  • Put together virtual programming kits and ship in advance of virtual programming
  • Maintain the education schedule, ensuring educators have been assigned to each program and have the information needed.
  • Maintain a consistent line of communication with clients, from first contact to after the visit, including addressing concerns and conflicts that may arise.
  • Have monthly meetings with the Education Committee to design new programming, revise old programming, and plan future educational efforts of the museum.
  • Maintain the archive of all educational efforts, including Education Committee meeting minutes, program archives, education kits, etc.
  • Track educational data for yearly review.
  • Write a monthly newsletter to members, including new worksheets for museum usage.
  • Utilize the museum's collections for in-museum and outreach programs, with knowledge of basic archival procedures.

Summer Camp:

  • Organize and run one to two 5 day, 4 hours/day summer day-camp programs during the summer season for preschool and elementary aged children, in collaboration with Executive Director.

Overall:

  • Enhance the presence and image of the Museum in the community through positive interactions and presentations.
  • Share program offerings and increase program use by spreading the word in the community.
  • Submit bi-weekly timesheets electronically to the Executive Director.
  • Be subjected to scheduled performance evaluations every twelve months, and as determined by the supervisor.
  • Other related duties as assigned.

MINIMUM ACCEPTABLE QUALIFICATIONS:

  • Bachelor’s degree or equivalent combination of education and experience
  • One to three years related experience in an administrative and/or educational role
