Overview: 

New York Folklore is a statewide arts and cultural services organization that supports folk and traditional arts and culture of New York's diverse communities by pursuing regenerative practices in collaboration with community.  This position is under the direction of the Executive Director. This will include managing the marketing of the Museum’s Membership Program and maintaining the membership database, managing the Gallery of New York Folk Art (a consignment gallery) and serving as a member of the Executive Team. The ideal candidate will have a passion for cultural equity. They will be a highly motivated self-starter with outstanding communications skills who loves working with people.  The work-week is Tuesday  (10 a.m. -6) p.m. through Saturday (10:00 a.m. – 3:30 p.m.).

Position Type:
This is a full-time, benefit eligible position that will work in-person at New York Folklore, 129 Jay Street, Schenectady.  The salary range for this position is $45,000-50,000/year. Benefits associated with this position include health insurance, dental insurance, medical/dental FSA, childcare FSA, retirement, and paid time off (vacation, sick, holidays). 

Membership Manager:

  1. Manage membership solicitations and database entries to track members, donors, and contacts.
  2. Manage Voices authors’ permissions, provide copy-editing, and assist with Voices workflow.
  3. Manage Voices subscriptions with libraries and other organizational members.
  4. Work with NY Folklore Staff to assist with the development and distribution of marketing and outreach materials.
  5. Maintain office technology, including working with vendors regarding computer technology.

 

Gallery Administration

  1. Open and Close the gallery each week-day (except Mondays) through Saturday.
  2. In a welcoming way, greet the public and gallery visitors and respond to all inquiries about New York Folklore and its publications.
  3. Prepare gallery marketing materials and work with local press to secure advertising
  4. Work with gallery artists to maintain accurate artist records, including sales data, contact information, and biographical information.
  5. Keep gallery sales journal and prepare artists payment vouchers monthly.
  6. Process telephone and online sales and ready items for shipping.
  7. Catalog and inventory artist items.
  8. Keep direct contact with Gallery Artists to solicit new work.
  9. Supervise the weekend work of the Gallery Assistant, and make sure there is gallery coverage for the times it is open.

General Administrative Duties

  • Answer the phone and direct calls to the appropriate person.
  • Assist NY Folklore Staff with program planning and implementation, as requested.
  • With staff, manage the New York State Folk Arts Roundtable conference planning and direct management of attendees. This includes maintaining hotel records, reimbursement requests, preparation of invoices for payments, replying to questions, and troubleshooting emergent issues for a conference of about 75 people.
  • Maintain orders for office supplies, and work with vendors as needed.
  • Represent New York Folklore at meetings of the Jay Street Business Association.
  • Maintain cordial relationships with collaborators, friends, and stakeholders.

 

Qualifications

Education/Experience:

  • Associate’s Degree required.  Prefer BA/BS from a four-year college.
  • Bilingual (Spanish/English) a plus.

Skills & Abilities: 

  • Familiarity with Microsoft Office Suite and online search required. 
  • Familiarity with Mailchimp or similar online newsletter platform
  • Experience with Donor Tools or similar donor database program a plus
  • Ability to handle and track cash and online payments
  • Ability to treat all persons with respect and patience, including those who are non-English language speakers

Working at a desk for extended periods of time.
